Marketing & PR Agency Accounting in San Diego
Books that show which clients actually make you money, media and production costs tracked to the dollar, and freelancer arrangements that hold up in California.

Agency finance looks simple from the outside and rarely is. Revenue arrives as monthly retainers, fixed-fee projects and hourly overages, often for the same client. Media buys, printing, video production and influencer fees flow through your bank account on the way to someone else, which can make top-line revenue look far healthier than the margin underneath it. Add a bench of freelancers and a team that tracks time unevenly, and it becomes hard to say which accounts are worth keeping.
Skyward runs the accounting function for marketing, media and public relations firms across San Diego County from our office in Escondido. We keep your books in QuickBooks Online, separate agency fees from pass-through costs, and close the month on a predictable schedule so your statements arrive while they are still useful. Documents, approvals and questions move through a secure Karbon client portal instead of scattered email threads, and reporting can be built in Excel, Google Sheets or Power BI around the measures your partners care about.
Agencies are people businesses, and California makes the people side demanding. Many firms lean on freelance designers, writers, photographers and media buyers, and AB5 sets a high bar for treating them as independent contractors. Our HR team reviews how each role is engaged, keeps onboarding, payroll and policy records in order, and helps you decide when a long-running freelancer should become an employee. Everything runs on a fixed monthly fee, so your own overhead stays as predictable as the retainers you sell.

What we handle
The realitiesof your sector.
01
Separating agency fees from pass-through media spend
When a client's ad budget runs through your accounts, it can swamp the revenue you actually earn. We record media buys, printing and production costs in their own accounts and tie them to the client and campaign they belong to. Whether those costs are presented gross or net on your statements is a judgment to confirm with your CPA, and we keep the detail organized so either view is easy to produce.
02
Retainer and project revenue that matches the work
A retainer billed on the first of the month and a project invoiced at a milestone do not always line up with when the work happens. We track what has been billed, what has been delivered and what is still owed to the client, so prepaid retainers and deposits are not mistaken for earned income. Your monthly statements then reflect real performance rather than invoice timing.
03
Knowing which clients are profitable
Busy accounts are not always profitable ones. We tag revenue and direct costs by client in QuickBooks Online and, where your team tracks time, bring hours into the picture so each account shows its true margin after staff and freelancer costs. Partners can see which retainers are underpriced, which clients consistently exceed scope, and where to have the next pricing conversation.
04
Unbilled time and work in progress
Hours that are logged but not yet invoiced are money the agency has already spent. We reconcile your time records against billing each month and report unbilled work in progress by client, so out-of-scope requests and change orders are invoiced instead of forgotten. A clear WIP view also keeps month-end revenue honest when large projects span several months.
05
Freelancer classification under AB5
California's AB5 includes specific carve-outs for some creative and marketing work, but each comes with conditions that are easy to miss. Our HR team reviews how your freelancers are engaged, collects W-9s and agreements up front, and flags arrangements that look more like employment. Where a legal opinion is needed, we help you prepare the facts for your attorney.
FAQ
Questions,answered plainly.
Should our agency report media buys as revenue?
It depends on how your client contracts are structured, including who controls the media and who carries the risk if something goes wrong. That is a question for your CPA, and we do not make that determination. What we do is keep pass-through costs and agency fees cleanly separated in the books, so your CPA can apply the right presentation without untangling a year of transactions.
Can you show profitability by client or by retainer?
Yes. We set up client tracking in QuickBooks Online so revenue, pass-through costs and direct expenses are tagged to each account. If your team logs time, we bring those hours into the report as well. The result is a monthly view of margin by client that partners can use when renewing, repricing or rescoping work.
Are our freelance designers and writers independent contractors under AB5?
Some may be and some may not. AB5 has exemptions for certain marketing, graphic design, writing and photography work, but they depend on how the work is performed and contracted. Our HR team reviews each arrangement against the tests and flags risk. We are not a law firm, so where a definitive answer is needed we help you bring the facts to an employment attorney.
Do you work with our project management and time tracking tools?
Usually, yes. Most agencies already track projects and hours somewhere, and we would rather work with that than ask your team to change habits. We pull the data we need into QuickBooks Online, Excel or Power BI for billing reconciliations and client profitability reporting, and we will tell you plainly if a setup makes accurate reporting difficult.
How much does outsourced accounting for an agency cost?
Skyward charges a fixed monthly fee based on the scope of work, such as transaction volume, number of clients and how much HR support you need. Engagements start with a six-month initial commitment and then continue month-to-month. Contact us for a quote and we will scope it around how your agency actually operates.
