Nonprofit, Civic & Foundation Accounting in San Diego

Clean fund accounting, grant reporting your funders can trust, and HR handled correctly, so nonprofits, civic organizations and foundations can stay focused on the mission.

Nonprofit finance carries obligations most small businesses never face. Every restricted gift has to be tracked against its purpose, every grant has its own reporting rules, and your expenses must be shown by function as well as by type. Boards want clear statements, funders want documentation, and auditors want a trail that holds together. Civic associations and private or community foundations face their own version of this, from member dues and event revenue to grant commitments made over several years. When the books are behind, all of those relationships get harder.

Skyward works as the accounting and HR department for growing nonprofits, civic organizations and foundations across San Diego County, from our office in Escondido. We keep your books in QuickBooks Online, set up classes and tracking so restricted and unrestricted funds stay separate, and deliver monthly financial statements your board can read without a translator. When it is time for your Form 990 or annual audit, we coordinate with your CPA or tax preparer and hand them organized, reconciled records.

People matter as much as the numbers. Nonprofits often rely on a mix of staff, contractors and volunteers, and misclassification is common in for-profit and nonprofit organizations alike. Our HR team helps you classify workers correctly, keep payroll compliant, and maintain the policies and records an employer in California needs. Engagements run on a fixed monthly fee, so your budget stays predictable.

What we handle

The realitiesof your sector.

01

Keeping restricted and unrestricted funds separate

Donor and grant restrictions have to be honored in the books, not just in intent. We set up fund and class tracking in QuickBooks Online so every restricted dollar is recorded against its purpose and released when the restriction is met. Your statements then show net assets with and without donor restrictions the way your board and auditors expect.

02

Grant tracking and funder reporting

Each grant comes with its own budget, allowable costs and reporting deadlines. We track grant revenue and spending against the approved budget and prepare the supporting detail your program staff need for funder reports. That means fewer late nights reconstructing spending from bank statements when a report is due.

03

Functional expense allocation

Nonprofits must show how expenses split between program services, management and general, and fundraising. We help you define a reasonable, documented allocation method for shared costs like salaries, rent and software, and apply it consistently each month. Consistency here makes your Form 990 and audit far simpler.

04

Board reporting and audit readiness

Boards need a clear picture of financial health, not a raw ledger export. We deliver monthly statements, budget-versus-actual reports and cash position in a format your treasurer and finance committee can review quickly. Because accounts are reconciled every month, year-end and audit preparation becomes an organized handoff rather than a scramble.

05

Staff, contractor and volunteer classification

The line between a volunteer, an employee and an independent contractor matters legally, and California applies strict tests. Our HR team reviews how your people are engaged, flags arrangements that carry risk, and keeps payroll, onboarding records and policies in order. Getting this right protects both your organization and the people who support it.

FAQ

Questions,answered plainly.

Do you prepare and file our Form 990?

No. Skyward is not a CPA firm and does not file tax returns. We keep your books accurate and reconciled throughout the year, track functional expenses, and coordinate directly with your CPA or tax preparer so they have everything they need to complete your Form 990 efficiently.

Can you help us get ready for an annual audit?

Yes. We do not perform audits, but we keep your records audit-ready: monthly reconciliations, documented grant and restricted-fund activity, and organized support for significant transactions. When your auditor sends their request list, we help you assemble the schedules and documentation they ask for.

How do you track grants and restricted gifts in QuickBooks Online?

We typically use classes, locations or tags to tag income and expenses by fund, program and grant, combined with a clear chart of accounts. The setup depends on how many grants you manage and what your funders require. The goal is that any grant's spending against budget can be pulled in minutes, not reconstructed by hand.

Can Skyward help with HR for our staff and volunteers?

Yes. Our outsourced HR service covers worker classification, payroll compliance, onboarding paperwork, employee handbooks and policy guidance. We help you understand where volunteers, part-time staff and contractors fit under California rules, which is an area where many organizations unknowingly carry risk.

What does nonprofit accounting with Skyward cost?

We work on a fixed monthly fee based on the scope of work, with a six-month initial commitment and month-to-month after that. A fixed fee makes the cost easy to budget for and easy to explain to your board. Contact us for a quote based on your organization's size and needs.
