Real Estate Investment Accounting in San Diego
Clean books for every property and entity, owner reporting your investors can rely on, and cash flow you can see a year ahead.

Real estate finance is organized around assets, not around a single company. Each property often sits in its own LLC, with its own bank account, lender, insurance and tax profile, while investors or partners expect regular reporting and distributions. Rents arrive monthly, but property taxes, insurance renewals, loan reserves and major repairs follow their own calendars. When several properties share one set of books or one bank account, it becomes difficult to show lenders and partners what any single asset actually earns.
Skyward provides accounting for real estate investors, owners and property-holding companies across San Diego County, from our office in Escondido. We keep a separate, reconciled set of books for each entity in QuickBooks Online, tie them to your rent roll and property management reports, and close each month on schedule. Statements, leases and lender requests move through a secure Karbon client portal, and portfolio reporting in Excel, Google Sheets or Power BI rolls every property into one view. We are not a broker or a property manager; we keep the books behind your portfolio.
Most real estate businesses have few employees but many relationships, including property managers, on-site staff, maintenance vendors and contractors. Our HR team helps where you do employ people, such as a leasing assistant, maintenance technician or office staff, keeping payroll compliant and contractor arrangements properly documented under California rules. We also make sure vendor W-9s are on file so your tax preparer has what they need at year end. Engagements run on a fixed monthly fee, which keeps overhead easy to budget across the portfolio.

What we handle
The realitiesof your sector.
01
Property-level books across multiple LLCs
Holding each property in its own entity protects the portfolio, but only if the books respect that structure. We maintain a separate set of books for each LLC, record intercompany loans and shared expenses properly, and reconcile every bank and loan account monthly. You get statements by property and a consolidated portfolio view, without commingled funds blurring which asset paid for what.
02
Rent rolls, receivables and security deposits
Your rent roll and your books should tell the same story. We reconcile rent collected, delinquencies, concessions and late fees against the rent roll each month, and track security deposits as a liability rather than income. California has specific rules on returning deposits with an itemized statement after move-out, so we keep deposit balances and deductions documented for each tenant.
03
CAM reconciliations for commercial tenants
Commercial leases often pass operating expenses through to tenants, and each lease can define recoverable costs, caps and pro rata shares differently. We track common area expenses by property, compare estimated charges billed during the year with actual costs, and prepare the reconciliation detail that supports year-end tenant billings or credits. Clear records make tenant questions far easier to answer.
04
Owner and investor reporting and distributions
Partners and investors want consistent, timely reporting on how their capital is performing. We prepare monthly or quarterly property statements, track each investor's contributions and distributions, and help calculate distributions under the terms of your operating agreement. Capital account schedules and organized records then go to your CPA for the entity's tax return and investor tax documents.
05
Capital improvements versus repairs
Replacing a roof and patching one are treated very differently, and the line between a capital improvement and a repair affects both your statements and your taxes. We code property spending consistently, keep invoices and project detail attached, and flag larger items for review. The final tax treatment is a decision we coordinate with your CPA, using records that make the call straightforward.
FAQ
Questions,answered plainly.
Should each rental property have its own set of books?
If each property is held in its own LLC, it should have its own books and bank account, since commingling funds can undermine the separation the entity structure is meant to provide. Even where properties share an entity, tracking each one separately makes performance and lender reporting much clearer. Your attorney and CPA advise on the structure itself, and we keep the books consistent with it.
Do you work with our property manager's reports?
Yes. Many owners receive monthly statements from a third-party property manager. We reconcile those reports against your bank accounts and rent roll, record management fees, repairs and owner draws correctly, and question discrepancies before they compound. The result is books you control, rather than relying solely on the manager's summary.
Can you help with investor distributions and capital accounts?
Yes. We track contributions, distributions and each partner's share under your operating agreement, and prepare the schedules investors and your CPA rely on. We do not prepare tax returns or investor tax documents, but we hand your CPA organized, reconciled records so they can complete them without rebuilding the year.
Can you forecast cash flow for a new acquisition or refinance?
Yes. We build property and portfolio cash flow forecasts that account for rent growth assumptions, vacancy, operating costs, reserves and debt service, and we can model how a refinance or a new acquisition changes the picture. These forecasts support your decisions and lender conversations. We do not provide investment, brokerage or appraisal services.
