Retail & Apparel Accounting in San Diego

Inventory you can trust across every store and channel, payouts that tie to the bank, and a cash plan built around your buying calendar.

A monthly financial statement with an upward-trending chart, a pen and reading glasses on a navy desk

Retail and apparel brands sell in more places than ever: a storefront or two, a website, marketplaces and the occasional pop-up. Each channel reports sales differently, takes its own fees and pays out on its own schedule, while inventory sits across stockrooms, warehouses and fulfillment partners. Apparel adds sizes, colors and seasons, so a single style can be dozens of items. Without a disciplined close, gross margin becomes an estimate and it is hard to tell which channel or collection is really earning its keep.

Skyward provides outsourced accounting and bookkeeping for retail, apparel and e-commerce businesses across San Diego County, from our office in Escondido. We keep your books in QuickBooks Online, reconcile point-of-sale and e-commerce platform payouts to actual deposits, and tie inventory and cost of goods sold to what is really on hand. Each month you receive statements and margin reporting by channel, store or product line, and you can share documents and questions with us through Karbon, our client portal.

Retail payroll in California has more moving parts than most owners expect. Daily overtime, meal and rest breaks, reporting time pay and part-time seasonal staff all need to be handled correctly in your payroll system. Our HR team helps you set scheduling and timekeeping policies that hold up, onboard holiday hires cleanly and keep personnel records in order. Engagements run on a fixed monthly fee, which stays the same through your busiest season.

What we handle

The realitiesof your sector.

01

Inventory and landed cost across locations

Gross margin is only as good as the cost behind each item, including freight, duties and fulfillment. We help you settle on a consistent costing method, reconcile counts from every store and warehouse to the books, and post shrinkage, markdowns and write-offs when they happen. The result is COGS that reflects reality, not a balancing figure at year end.

02

Reconciling e-commerce and marketplace payouts

Your e-commerce platform and marketplaces deposit a net amount after fees, refunds, chargebacks and reserves, so deposits rarely match gross sales. We break each payout into its parts, record sales, fees and returns separately and reconcile to the bank. You can then see what each channel actually costs to sell through, and nothing goes missing between the platform and your account.

03

Sales tax across channels

Store sales, shipments to other states and marketplace orders can each be treated differently for sales tax. We reconcile tax collected in every channel to the books and keep the reports organized for whoever files your returns. Where your online sales may create obligations in other states, we flag it so you can review it with your CPA or tax advisor.

04

Seasonal buying and open-to-buy cash

Apparel brands often pay for a season's inventory months before it sells, then need cash again for reorders. We build a cash forecast around your buying calendar, deposits to manufacturers and expected sell-through, so you can see the low points in advance. As fractional CFO we help you plan purchase budgets and decide when financing makes sense.

05

California retail scheduling and payroll rules

Shift work in California brings daily overtime, meal and rest break premiums, reporting time pay and split-shift rules, and seasonal hiring multiplies the paperwork. Our HR team reviews your scheduling and timekeeping practices, helps you document policies and keeps onboarding records complete. Payroll is checked each cycle so premiums are paid when they are owed.

FAQ

Questions,answered plainly.

Why don't my e-commerce deposits match my sales reports?

Platforms and marketplaces pay out net of processing fees, refunds, chargebacks, shipping labels and sometimes reserves, and a single deposit can cover several days of orders. We break each payout down and record every component, so sales, fees and returns are reported separately and the bank reconciles cleanly.

Can you track inventory for both our stores and our online shop?

Yes. We work with QuickBooks Online and the inventory or point-of-sale system you already use, reconcile on-hand inventory to the books and keep COGS accurate across channels. For apparel, we help you decide what level of detail belongs in the books and what is better left in your inventory system.

Do you file our sales tax returns?

Skyward is not a CPA firm and does not prepare tax returns. We reconcile the sales tax you collect in each channel, keep the supporting reports organized and coordinate with your tax preparer, so filing is a straightforward handoff rather than a reconstruction.

What California payroll rules trip up retail businesses most often?

Common problem areas include daily overtime after eight hours, missed or late meal and rest breaks, reporting time pay when a shift is cut short and correct treatment of seasonal staff. Our HR team helps you build schedules, policies and timekeeping practices that address these, and we can recommend when to involve an employment attorney.

How much does retail bookkeeping with Skyward cost?

We charge a fixed monthly fee based on scope, such as the number of stores, sales channels and whether HR is included. There is a six-month initial commitment, then it runs month-to-month, and the fee does not rise in your peak season. Contact us for a quote.
