Training & Workforce Development Accounting in San Diego
Program-level books that show what each cohort costs and earns, funding records that stand up to agency review, and instructors engaged the right way.

Training organizations live by the enrollment calendar. Tuition is often collected before a course begins, revenue from employer contracts and public workforce funding arrives on its own schedule, and every cohort has its own instructors, materials and facility costs. Some programs are paid per seat, others on milestones such as completion or job placement. When all of that lands in a single income line, it becomes very hard to tell which programs sustain the organization and which ones quietly drain it.
Skyward serves as the accounting function for training providers and workforce development organizations across San Diego County, from our office in Escondido. We keep your books in QuickBooks Online with tracking by program and cohort, record tuition and contract revenue as it is earned, and close each month on a dependable schedule. Enrollment reports, invoices and funder documents move through a secure Karbon client portal, and we build reporting in Excel, Google Sheets or Power BI that program directors and finance staff can both use.
Instructors are central to the product, and how they are engaged matters in California. Many providers mix salaried staff, part-time hourly trainers and subject-matter experts brought in for a single course, and AB5 makes the contractor question a serious one. Our HR team reviews those arrangements, keeps payroll and personnel records in order, and supports hiring as programs expand. All of this runs on a fixed monthly fee, which keeps your administrative cost predictable even in the months when enrollment is not.

What we handle
The realitiesof your sector.
01
Program and cohort-level profitability
A course that fills every seat can still lose money once instructor time, curriculum licensing, materials and room costs are counted. We tag revenue and direct costs by program and cohort in QuickBooks Online and allocate shared costs on a documented basis. Leadership can then compare programs on real contribution margin and decide which to grow, reprice or retire.
02
Deferred tuition and refund liabilities
Tuition collected in March for a course that runs through June has not been earned in March. We record prepayments as deferred revenue and recognize it as instruction is delivered, and we track withdrawals and refunds against your published refund policy. Your statements then show what the organization has truly earned and what it still owes students in service or refunds.
03
Workforce grant and agency contract compliance
Publicly funded training, including WIOA-funded programs, usually comes with rules on allowable costs, participant documentation and invoicing tied to enrollment or outcomes. We track each contract's budget and spending separately, keep supporting records organized, and prepare the financial detail for invoices and agency reports. When a monitoring visit or audit is scheduled, we help you assemble what the reviewer or your auditor requests.
04
Instructor classification and pay
Bringing in an outside trainer for a two-day workshop is not the same as relying on the same adjunct instructor every term. Our HR team reviews how each instructor is engaged against California's classification tests, documents agreements, and moves recurring roles to payroll where that is the safer path. We also help set consistent pay practices for prep time, travel and class hours.
05
Enrollment-driven cash flow
Cash tends to arrive in bursts around enrollment periods and contract payments, while payroll and rent are steady. Reimbursement-based funding can add a further lag between delivering training and getting paid. We build a cash forecast around your course calendar, funding draw schedules and reimbursement timing, so you can see thin months coming and plan program launches with enough runway.
FAQ
Questions,answered plainly.
When should a training company recognize tuition revenue?
Generally, tuition is recognized as the training is delivered rather than when the student pays, with prepayments held as deferred revenue until then. Multi-week courses are often recognized over the course dates, and short workshops on completion. We set this up in QuickBooks Online and keep it reconciled. Your CPA confirms the approach for tax purposes, and we give them the schedules they need.
Can you help us manage workforce development grants and agency contracts?
Yes. We track each award or contract as its own budget, code spending to it, and keep invoices, participant-based billing support and cost documentation organized for agency reporting. We do not perform audits or certify compliance, but we keep records ready for monitoring reviews and coordinate with your auditor when one is required.
Can our trainers be paid as independent contractors?
Sometimes, but California applies strict tests under AB5, and an instructor who teaches your curriculum on your schedule as a regular part of your offering may well be an employee. Our HR team reviews each arrangement and flags those that carry risk. We are not a law firm, so for a formal opinion we help you bring the facts to an employment attorney.
We run both for-profit courses and a nonprofit program. Can you handle both?
Yes. Many training organizations operate more than one entity or keep a separate set of books for grant-funded programs. We keep each set of books distinct, handle any shared costs between them on a documented basis, and give leadership consolidated reporting alongside the entity-level statements your CPA and funders need.
How much does Skyward charge a training organization?
We work on a fixed monthly fee based on scope, such as the number of programs and funding sources, transaction volume and HR needs. Engagements begin with a six-month initial commitment and then run month-to-month. Contact us for a quote and we will scope it around your programs and enrollment cycle.
